Job Description

We are currently seeking a highly skilled Office Administrator to oversee day-to-day office operations and human resource functions. This is a vital role working directly with the firm’s Principals and employees across both locations. Key Responsibilities: Process in-house payroll through Ajera including timecards, bi-weekly and quarterly tax reporting, and year-end W-2s Administer 401(k) funding after each payroll and prepare compliance testing data Coordinate HSA contributions monthly Manage the recruitment and onboarding process; handle terminations Supervise administrative staff Coordinate and track employee performance reviews Maintain all HR records and handle mediation as needed Serve as the primary contact for all insurance policies, including Workers' Compensation, business, auto, and E&O insurance Collaborate with insurance brokers to evaluate and renew employee benefits packages (medical, dental, vision) Ensure legal compliance with wage and hour laws and stay updated on annual labor law changes Work with property managers and landlords regarding office leases Review and approve all company expenses Coordinate with immigration attorneys for visa sponsorships Qualifications: Bachelor’s degree required Minimum 10 years of experience in office management and HR Experience processing payroll using Ajera accounting software Strong knowledge of California and federal labor laws Excellent organizational and leadership skills Ability to multitask and meet deadlines independently Previous experience with 401(k) and HSA administration Familiarity with H1B visa sponsorship and coordination with immigration attorneys
